How to Train ChatGPT on Your Business

You can't train ChatGPT itself on your business, and you don't need to. Write your facts in one file, load it into a ChatGPT Project for you and your team, and publish the same facts as plain text on your website so ChatGPT search can find you for customers.

People use the word "train" for three different jobs. Mix them up and you fix the wrong thing.

By Los Silva, founder of AI Simple and co-founder of THE LABL.

The three things people mean by "train"

What you wantWhere it happensWhat you control
ChatGPT knows my business when I or my team use itProjects, custom GPTs, custom instructionsThe files and instructions you give it
ChatGPT tells customers about my businessChatGPT search, which reads public web pagesYour website and what others publish about you
OpenAI's model learns from my chatsA setting in Data controlsOnly whether your chats are shared. It does not get you recommended

That third row trips people up. On personal Free, Plus and Pro accounts, "Improve the model for everyone" is on by default, per OpenAI's data controls page. Business and Enterprise workspaces are not used for training by default. So chatting about your business in your own account is not marketing. It is a privacy choice. If you paste customer names or numbers into a personal account, check that setting first.

What the top guides say, and what they skip

I read the top results this week. For "train ChatGPT on my business": Zapier, Chat Data and OpenAI's Projects page. For "train ChatGPT to recommend your business": Bellavasta and Search Engine Journal.

The first group says upload your files. The second says fix your website, reviews and listings. Both are right. None of them treats it as one job. It is. The same facts feed both, and the same questions test both. One reply on r/AiForSmallBusiness said it well: "stop thinking of it as training and start thinking of it as source control plus guardrails."

Step 1: write one business facts file

One doc. Plain words. Brief it the way you would brief a new hire on day one:

Don't dump in every old doc you have. Old versions fight new ones, and old support replies carry old answers. One file you keep current beats fifty you don't.

Step 2: load it for you and your team

Create a Project in ChatGPT. Per OpenAI, a project keeps chats, files and instructions together, and project instructions apply only inside that project and override your general custom instructions. Upload the facts file. Then add one instruction: "Answer only from the project files. If the answer is not there, say so and ask me."

Need to share it with staff outside your account? A custom GPT does that, with the file uploaded as knowledge. Zapier notes building one needs a paid plan.

Step 3: test it with the same 20 questions

Ask each question in a fresh chat inside the project. Mark each answer right, wrong, or made up. Every wrong answer points to a missing or unclear line in the file. Fix the file, not the prompt. Re-run all 20 every time the file changes. It is the same saved-examples check from AI agent vs automation.

Step 4: publish the same facts for customers

ChatGPT search never sees your project. It reads public pages. OpenAI's publisher FAQ says any public site can appear in ChatGPT search, and tells you not to block OAI-SearchBot. Its crawler page adds that the search bot and the training bot (GPTBot) are separate switches. You can block training and still show up in search.

This site does the public half. Its robots.txt lets OAI-SearchBot in, and the facts about me sit in plain text on Who is Los Silva? No one can promise you a mention, and OpenAI doesn't either.

A worked example: a pool service company

This is an illustration, not a client story. The owner copies the last 20 questions from a month of texts: "Do you cover my town?", "What day do you come?", "Do you fix pumps?", "What if it rains?" She writes the answers, plus one line: "We don't drain pools." The file goes into a project, and her office manager uses it to draft replies she approves. The same 20 answers go on the site's FAQ page. When the test shows a wrong answer about service days, she fixes one line in the file and one line on the page. One file. Two jobs. One update.

Where to start

Open your sent folder today and copy the last 20 customer questions. That is the hard part, and it is the same work as writing your steps down in Is my business ready for AI? If most of those questions come from new leads, read how to automate lead follow-up next.

Frequently asked questions

Can I train ChatGPT on my business data?

Not the model itself, and you don't need to. You give ChatGPT your files in a Project or a custom GPT, and it uses them when it answers. Fine-tuning through OpenAI's API is a developer job that teaches a response style from examples. Most owners never need it.

How do I get ChatGPT to recommend my business?

You can't submit your business to it. Make sure your robots.txt does not block OAI-SearchBot, put your facts and real customer questions in plain text on your site, and say the same facts the same way on your listings. Then ask the questions your customers ask and see if you show up. Nobody can promise a mention.

Is my business data used to train ChatGPT?

It depends on your plan. On personal Free, Plus and Pro accounts, Improve the model for everyone is on by default, and you can turn it off in Settings, Data controls. Content in Business and Enterprise workspaces is not used for training by default, per OpenAI. Either way, don't upload what you would not want stored.
